Intake Specialist – Pierce/Kitsap County Sites
Department: Workforce Development (WFD)
Reports to: County Services Coordinator
FLSA Classification: Non-Exempt
Wage Range: 5/6
Position Summary: The Intake Specialist is responsible for providing direct, day-to-day client services as requested by the County Services Coordinator. The Intake Specialist is responsible for ensuring that the WFD client support activities are performed within the parameters contained in the SPIPA WFD Policies and Procedures Manual and adhere to best practices in case management and client services. The Intake Specialist reports directly to the County Services Coordinator.
Responsibilities:
- Provide case management services with oversight and training from the Case Managers and Case Management QA/QI as authorized by the County Services Coordinator.
- Provide support to Case Managers and Case Management QA/QI in establishing TANF eligibility as defined in the Federally Approved SPIPA TANF Plan.
- Assist Case Managers in the development of client plans, and delivery of approved WFD support activities.
- Provide direct client support services as directed by Case Manager or County Services Coordinator.
- Attend site staff/case management meetings or trainings.
- Document and update client files on a daily basis in TAS database computer system.
- Assist in distribution of program information to clients; employment and education opportunities, appointment reminders, events, and community resources.
- Maintain current community resource guide for staff and clients.
- Maintain employment and training boards.
- Organize and maintain a WFD file management system assuring file security and best flow by alphabetizing, naming, storing, and handling confidential client documents and other office documents.
- Assist clients in completing all required WFD documentation or other documentation as related to the removal of barriers as directed by the Case Manager or County Services Coordinator.
- Assist clients in completing necessary forms for assistance as directed by the Case Manager or County Services Coordinator.
- Transport clients as needed.
- Maintain quality customer service in accordance with the SPIPA WFD Policy and Procedure Manual.
- Assess the needs of customers and provide information concerning the services, procedures, and guidelines of the SPIPA Intertribal TANF Program and Workforce Development Program.
- Other duties as assigned.
The Intake Specialist, as an employee of the South Puget Intertribal Planning Agency, is expected to collaborate, engage, and work closely with all SPIPA programs to fully support the agency’s Vision, Mission, and Core Values in accordance with all agency directives.
Minimum Requirements:
- Associates Degree in Human Services or related field and one year experience in case management and providing employment/education or social services to clients, or High School Diploma or GED and three years of case management and providing employment/education or social services to clients.
- Three years’ experience working with low-income families; one year experience working in a Native American community preferred.
- Must have knowledge of TANF or similar Workforce Development Programs.
- Ability to work effectively, independently or cooperatively with others.
- Must have the ability to maintain confidentiality and demonstrate good conflict resolution skills, professional boundaries and mature office etiquette.
- Must have the ability to understand and apply the program requirements and case management standards as defined in the SPIPA WFD Policy and Procedure Manual.
- Must be able to communicate clearly verbally and in writing.
- Must have strong computer skills with at least three years using Microsoft Office or similar software.
- Possess a valid Washington State Driver’s License and proof of automobile insurance.
- Pass a Pre-employment Drug Screen Test.
- Pass a background investigation, including relevant criminal history.
Salary/Fringe Benefits: Compensation for this position has a starting range of $17.99 to $20.06 per hour (based on a 37.5 hour week). Benefits include medical, dental, vision, life insurance, and agency contribution to a retirement program.
